In a world where every second counts, the pressure to meet deadlines can often overshadow the need for data security. Imagine racing against time, relying on the latest generative AI tool like Copilot for Microsoft 365 to help you meet your latest deadline. But when we’re under pressure, how many of us will pause to ensure there are no potential data leaks?  As a technical consultant deeply embedded in the ins and outs of data security and AI integration, I’ve witnessed first hand the critical importance of data readiness in unlocking the full potential of Copilot for Microsoft 365. In my webinar, I explore how to prepare your data for Copilot for Microsoft 365, optimising your workflow, and safeguarding against potential pitfalls.

Why Preparing Your Data for Copilot for Microsoft 365 is vital

The allure of automation tools within the modern workplace is undeniable—they promise efficiency and accuracy in our daily tasks. Yet, with convenience comes the danger of oversight.  In Microsoft’s latest Work Trend Index, 70% of early Copilot for Microsoft 365 users reported increased productivity.  But as humans, we are wired to seek the path of least resistance, and often overlook the need for thorough checks. But when man and machine converge, establishing robust checks and balances is critical to safeguard our data.

Data Governance: Not a Novel Concept

Data governance isn’t a novel concept—it’s been around for decades, evolving alongside technology. As Copilot for Microsoft 365 emerges as a powerful tool in data processing and content creation, it’s crucial to reinforce these governance protocols.  A range of people in an organisation will interact with your data daily. Sensitive data will roam across apps and services, and without the proper controls, data growth can increase the risk of data leakage. When data roams, it should do so in a secure way that adheres to the business’ compliance policies.  To resolve this, IT admins can apply flexible protection policies, like sensitivity labels that include encryption and access restrictions, to also prevent confidential data being accessed across the business. For example, apply a “Confidential” label to a document and that label encrypts the content and applies a “Confidential” watermark. Or choose how to identify sensitive information that should be labelled, and the label can be applied automatically, or you can prompt users to apply the label that you recommend with a policy tip.

How Auto Sensitivity Labelling of Confidential Documents Works

Auto-labelling of sensitive documents eliminates the need for users to manually apply the labels themselves, ensuring that the system automatically enforces labelling policies specific to their business needs. With auto-labelling, users do not need to be trained on when to use different labels as the system does this automatically. One thing to consider is that the content generated by Copilot may not inherit certain labels, so reviewing Microsoft 365 settings is essential to guaranteeing proper labelling and protection.
